    Universal Engineering Sciences has an opening for an Administrative Assistant.

    The BID administrative assistant is responsible for preparing scheduling building inspections and preparing professional correspondence which includes: proposals, reports, close-out packets, and invoices. 


    Responsibilities and Duties:

    • Schedule inspections
    • Communicate with Municipalities through their online scheduling system
    • Create daily reports, opportunities for projects, and private provider inspection packets
    • Convert opportunities into projects and draft project proposals
    • Complie close-out packets at the conclusion of a project
    • Upload proposals, contracts, and close-out packets into Docs
    • Create and send invoices to clients



    Required Qualifications:


    • High School Diploma or equivalent, Associates Degree preferred but not required
    • Excellent verbal and written customer service skills
    • Basic understanding of and experience with accounting and invoicing practices and principles
    • Proven track record of working efficiently and accurately
    • Experience with using multiple tabs and worksheets in addition to the ability to toggle between software to obtain information
    • Physical demands of his job include sitting for an extensive period of time, walking, bending, reaching, and lifting up to 25 pounds.

    Preferred Qualifications:

    • Experience in a civil engineering or construction firm
    • Experience with collections
