    Responsibilities

    Building Inspection Department (BID) Administrative Assistant reports to the BID Administrative Supervisor.

     

    Job Overview

     

    The BID Administrative Assistant is responsible for scheduling building inspections, preparing professional correspondence, which includes: proposals, reports, close-out packets and invoices. Job description may vary by branch location.
    Responsibilities and Duties
    • Schedule Inspections.
    • Communicate with Municipalities through their online scheduling system.
    • Create Daily Reports.
    • Draft Project Proposals.
    • Create Opportunities for Projects.
    • Convert Opportunities into Projects
    • Create Private Provider Inspection Packets
    • Compile Close-Out Packets at the conclusion of a project.
    • Upload Proposals, Contracts, and Close-Out Packets into Docs.
    • Create and send invoices to clients.

     

    Qualifications

    Required Qualifications:

     

    • High School Diploma or equivalent
    • Excellent verbal and written customer service skills
    • Basic understanding of and experience with accounting and invoicing practices and principles
    • Proven track record of efficient and accurate work
    • Experience with using multiple tabs and worksheets plus the ability to toggle between software to obtain information
    • Ability to sit for extensive periods of time and lift up to 25 pounds

    Preferred Qualifications:

     

    • Associates degree
    • Experience in a civil engineering firm
    • Experience with billing/invoicing
    • Experience with collections
